Goal:

 

The goal of the Special Events Team goal is to plan, produce, convene, and evaluate special events in the church that support excellence in ministry. Ensure special events are well planned from the beginning to the end. To assist in development for new programs, conferences, workshops, seminars,

and church trips. To assist in making everyone feel welcome by serving them in the spirit of love.

 

Objectives:

 

1. Ensure all Special Events support the SJMBC Mission and Vision Statement.

 

2. Create special events, fellowships, and programs of excellence that reflect favorably upon SJMBC and our Community.

 

3. Develop a timeline for special events and assist other ministries as needed.

 

4. Utilize special event checklist.

 

5. Ensure effective marketing and promotion of events.

 

6. Assist in the development and direction of the fellowship and hospitality team.

 

7. Collaborate with New Members Team for newcomer integration.

 

8. Utilize a team approach to evaluate special events’ outcomes and to ensure the success of future events.

 

9. Research and develop new programs initiatives as well as continual improvement to existing programs.

 

10. Works collaboratively with all Ministry Program Leaders to ensure success of all programs.

 

11. Utilize survey results from St. James Members to provide Ministry Leaders constructive feedback regarding the strengths and opportunities.

 

 

Role of Special Event Planners

 

The role of this team is to plan, develop, and coordinate church-wide events. Assist in the development for new programs, conferences, workshops, seminars, and church trips (local and out of state). To assist with annual church calendar and after event surveys that will enhance excellence for future events.

 

Role of Special Event Designers

 

Responsible for various events RSVP process, invitation and program designs, as well as flyers and handbills. Responsible for catering service for various events. Ensure decorations, art work and background music for various events, supports the Church Mission and Vision Statement.

 

Role of Hospitality Team

 

The role of the Hospitality Team is to show warm hospitality and the love of God in the spirit of excellence while setting up, hosting, serving individuals, soliciting for and hosting meals and fellowship times regarding special church events and activities. It includes the setting up, serving and cleaning up after special events and fellowship activities. Responsible for greeting guest upon arrival for special church events as well as providing welcome bags and preparing refreshments.
